Sword Training Solutions Ltd takes the protection of Personal Data seriously. Personal Data means any information from which a living individual (called a Data Subject) can be identified. It does not include information that has been anonymised. Personal Data can come in many forms: at its simplest, it may be a name, address, and telephone number, but it can include a wide range of matters such as an individual’s opinion or their preferences. Under GDPR, an IP address is also considered to be Personal Data.

As a business, we are required to comply with the UK’s Data Protection Laws, and we are fully committed to ensuring that compliance. This policy sets out how we handle the Personal Data of any individuals we deal with. It applies to all Personal Data held about our customers and potential customers, suppliers, business contacts and any other individuals who we deal with in the course of our business. It also applies to how we manage the Personal Data of our staff and other workers and to the Personal Data of our shareholders.

 

Sword Training Solutions Ltd keeps this data protection policy under regular review, so it may be updated from time to time.

We currently collect and process data including personal identifiers, contacts and characteristics (for example, name and contact details).

 

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • You have been involved with one of our training courses or services

  • You wish to be considered for a job role, have sent your CV in to us and have agreed that we can hold your information on file for that purpose

  • Your organisation has a role they wish to recruit for

  • Your organisation wants to enquire about one or more of our services

 

We use the information that you have given us for sales and/or marketing of our services or for recruitment purposes only. For recruitment, we will share this information with organisations who may have a job role suited to your skills.

 

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting Sarah Clayton at sarahclayton@swordtrainingsolutions.com.

Your information is securely stored. We keep your personal information for no longer than is necessary for the purposes for which it is Processed. We will then dispose your information by deleting all copies from our devices and from our cloud services.

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.

  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

  • Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

  • Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances

 

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
